Virtual receptionist or AI receptionist?
The terms are used interchangeably in marketing and they describe different things. A virtual receptionist is traditionally a person — somebody in a call centre answering for several businesses at once. An AI receptionist is software. Knowing which you are buying matters more than any feature comparison, because they fail in opposite ways.
What each actually is
A trained human, usually handling calls for a number of businesses in the same shift, working from a script you supplied.
Answers every call itself, reads your availability, and books into your calendar directly.
A person covering six businesses cannot know any of them deeply, which is why the script matters so much and why answers stop at its edges.
It will never read a room, sense that somebody is upset, or make a judgment call you did not anticipate.
Where a person genuinely wins
Anything emotional or ambiguous. A distressed caller, a complaint, a situation nobody wrote a rule for — a competent human handles these far better than any software, and businesses whose calls are frequently like this should weigh that heavily. If a meaningful share of your calls need judgment rather than information, you are buying the wrong thing by buying software.
Where software genuinely wins
Everything repetitive, and everything outside office hours. It answers the ninth identical question about parking with the same patience as the first, it is there at half seven on a Sunday, and — the decisive difference — it can read live availability and make a real booking rather than taking a message for somebody to action later. Most virtual receptionist services hand you a message; that is the single largest practical gap between the two.
The question that separates them
Ask either one: "does it write into my calendar, or send me a message?" A service that takes messages has moved the work rather than removed it — you still ring back, still find the slot, still enter the details, and in the gap some of those callers have booked elsewhere. That question tells you more than any feature list, and it is worth asking before price comes up at all.

Many businesses do — software for overflow, after-hours and repeat questions, a person for the calls that need judgment.
